What You’ll:
- Coordinate daily operations across clients, field teams, vendors, and leadership, partnering closely with the Operations Manager to ensure smooth day-to-day execution.
- Schedule technicians and manage service requests to ensure timely execution
- Serve as a primary point of contact for service clients and provide project updates
- Support backlog growth by sending proposals and following up on open opportunities
- Prepare and submit invoices with supporting documentation
- Assist with job costing by reviewing labor hours, receipts, and purchase orders
- Maintain accurate records in CRM systems and manage job documentation
- Coordinate equipment rentals, permits, dumpsters, and project logistics
- Support operational reporting and track key performance metrics
- Identify opportunities to improve workflows and operational processes
- Assist with administrative and compliance documentation
- Communicate proactively across teams to ensure projects stay on track
Who You Are:
- 2-5 years of experience in operations coordination, construction, service coordination, or office management
- Highly organized with strong attention to detail
- Strong communication and customer service skills
- Comfortable managing multiple priorities in a fast-paced environment
- Experience scheduling crews or coordinating field teams preferred
- Familiarity with CRM systems and project management software
- Experience with invoicing, billing, or job costing is a plus
- Proficient in Microsoft Office including Outlook and Excel
- Self-motivated and proactive with a problem-solving mindset
